How to network at events without losing contacts

A simple before, during and after routine for conferences and meetups, so every good conversation ends with a contact, some context, and a follow-up that actually gets sent.

Most people do not lose contacts because they met too few people. They lose them in the gap between the conversation and the follow-up. A card goes into a pocket, a name goes into a phone with no context, and by the end of the week the moment has passed.

A short routine closes that gap. It works at a large conference, a local meetup, or a coffee catch-up.

Before the event

  1. Pick two or three goals. A partner, a hire, advice on one problem. Goals make it easier to know which conversations matter.
  2. Set up the event. Create it in your networking app, or at least a note with the name and date, so everyone you meet lands in one place.
  3. Make your details easy to share. Have a QR code or digital card ready, and charge your phone.

During the event

  1. Be present in the conversation. Do not type notes while someone is talking to you.
  2. Capture straight after. When the conversation ends, scan their card or badge, or record one or two sentences: who they are, what they need, and anything you promised.
  3. Share your card. Show your QR code so they leave with your details too.

After the event

  1. Triage the same night. Sort people into send now, send this week, and leave it.
  2. Follow up within 48 hours. Mention where you met, one detail from the conversation, and one clear next step.
  3. Set a reminder for anyone who needs a second touch.
